Overview:

Our client is seeking Real Estate Paralegal,  PA supports the Firm’s attorneys in all phases of real estate transactions, including residential and commercial closings, title reviews, document preparation, and client communications. This position plays a key role in ensuring the smooth and timely execution of property transactions, from contract to closing, by providing efficient legal support and exceptional service to clients. Fluency in Spanish is preferred.

Primary Responsibilities:

Real Estate Transaction Support

  • Research property ownership and gather essential documents for sales and refinances.

  • Order and review title commitments, estoppels, lien searches, and survey affidavits.

  • Identify and resolve title issues (e.g., easements, legal descriptions, tax liens, boundary disputes) under attorney supervision.

  • Draft, prepare, and coordinate closing documents, settlement statements, and disbursement sheets.

  • Communicate with clients, lenders, builders, realtors, and title companies to ensure all documentation and information are received and accurate.

  • Clear title requirements and ensure all monetary obligations are satisfied (mortgages, taxes, judgments, etc.).

  • Schedule and coordinate closings and ensure client readiness.

  • Maintain accurate client records in the case management system.

Client Service & Communication

  • Provide timely updates to clients regarding transaction progress.

  • Assist clients with closing-related questions, gathering missing information or documents as needed.

  • Build and maintain strong client relationships to encourage future business and referrals.

Administrative Support

  • Draft letters, forms, reports, contracts, and simple closing documents.

  • Organize and maintain digital and physical client files.

  • Perform document management and data entry using the firm’s CRM and case management platforms.

  • Assist with business entity filings and related documentation.

  • Process invoice cancellations and submit accurate billing to vendors such as First American, REALRES, and Exacta.

Additional Office Support Tasks:

  • Answer phones, route calls, and take messages professionally.

  • Greet and assist office guests and provide refreshments.

  • Schedule couriers and notaries as needed.

  • Monitor and order office and copy machine supplies.

  • Handle incoming and outgoing mail, scanning and saving documents appropriately.

  • Maintain neatness in the reception area and conference rooms.

Qualifications & Experience:

  • Required: High school diploma or equivalent.

  • Preferred: Associate’s or bachelor’s degree.

  • Minimum 5 years’ experience as a real estate paralegal or escrow closer with experience managing transactions from contract to close.

  • Clean 10-year background check (credit, criminal, and professional history).

  • Ability to draft routine correspondence and legal documents accurately.

  • Demonstrated customer service skills and strong time management.

Skills and Competencies:

  • Strong written and verbal communication skills; bilingual in English and Spanish preferred.

  • High attention to detail and ability to manage multiple priorities in a fast-paced

  • environment.

  • Excellent time management, organizational, and project coordination skills.

  • Proficiency with Microsoft Office Suite and comfort learning new software platforms (e.g.,

  • case management and CRM systems).

  • Self-motivated with a proactive, problem-solving mindset.

  • Strong interpersonal and relationship-building abilities.

  • Professional, assertive, and able to maintain client confidentiality at all times.

Compensation and Benefits:

  • Annual salary: $60,000

  • Health, vision, dental insurance eligible after successful completion of 90-day probationary period. Premium paid by employer = 75%

  • 12 paid holidays per year

  • 5 days sick leave, as needed - as accrued after successful completion of the 90-day probationary period.

  • 10 days vacation leave, as approved - as accrued after successful completion of the 90-day probationary period.

  • Work hours - 9am-5:30pm - 30 minute lunch break
